Calendars
Use calendars to plan your own events, view colleagues' schedules, and work with shared calendars. Calendar access, subscriptions, and event invitations serve different purposes: access determines which calendars you can use, subscriptions add them to your view, and invitations add individual events to a guest's schedule.
Calendar access and subscriptions
| Action | Effect |
|---|---|
| Share a calendar | Grants access to a user, a user group, or a public audience. |
| Subscribe to a calendar in tSM | Adds an available calendar to your personal calendar view. |
| Select or deselect a calendar | Shows or hides its events in your view. |
| Remove a subscription | Removes the calendar from your view without deleting the source calendar or its events. |
| Add an event guest | Includes that specific event in the invited calendar. |
| Generate an iCal URL | Creates a link for reading selected calendars in an external application. |
Sharing and subscribing are separate steps. After a colleague shares a calendar with you, subscribe to it and enable it in your view. Subscribing does not grant additional access.
For example, Alice shares her calendar with Bob for reading. Bob subscribes and selects it to see Alice's events alongside his own. Hiding or removing Alice's calendar from Bob's view does not revoke the sharing rule.
Open your calendar
Open Calendar from the application menu. The left side panel contains a navigation calendar and the sections User calendars, User group calendars, and Other calendars.
If you do not have a personal calendar when you first open the calendar, tSM opens a dialog to create one. Complete the required fields and save it.
Use the navigation calendar or the previous and next buttons to change the displayed period. Today returns to the current date. You can switch between day, week, month, and list views, show weekends, and filter by event type.
Menu entries, available event types, and enabled actions depend on your deployment configuration and application privileges.
Share a calendar
- Open calendar management using the cog icon in the calendar side panel.
- Select the calendar you want to share.
- Select Share. You can also open sharing from the calendar detail.
- Choose the recipient type in Sharing type:
- User: select an individual user.
- User group: select a group.
- Public: make the sharing rule available without matching a named user or group. Application access requirements still apply; this option does not create an iCal link.
- Choose the access level in Privileges.
- Select Add. The rule appears in the sharing list.
- Ask the recipient to subscribe to the calendar.
Calendar sharing recognizes these access codes. Their displayed names depend on the sharing-type configuration:
| Code | Effect |
|---|---|
READ | Makes the calendar available for viewing. This rule alone does not add it to the calendars available for writing. |
EDIT | Also includes the calendar in the selection available for writing. Individual actions can still be limited by application privileges and event configuration. |
Change or remove sharing
Open Share again. Use the pencil beside an existing rule to change its access level, or the remove action to delete the rule.
Removing one sharing rule does not remove access obtained through another rule, a group, public sharing, or automatic calendar access. If calendar management actions are unavailable, contact the calendar administrator.
Automatic calendar access
Calendars can be available without an explicit sharing rule. The following relationships add calendars to both the viewing list and the list available for writing:
| Your relationship or role | Calendars included |
|---|---|
| Calendar owner | Calendars assigned to your user account. |
| Calendar creator | Calendars you created. |
| Direct supervisor | Calendars assigned to users whose supervisor is your account. |
MANAGER in a user group | Calendars assigned to members of the same group. |
CALENDAR_ADMIN in a user group | Calendars assigned to members of the same group. |
MANAGER and CALENDAR_ADMIN must be roles on your membership in the relevant group. A system role with the same name does not by itself satisfy this rule. Ordinary group membership does not trigger this automatic access rule; explicit sharing with the group is a separate way to provide access. See User Groups.
The supervisor relationship covers direct reports only. If Alice supervises Bob and Bob supervises Carol, this relationship gives Alice access to Bob's calendars; it does not automatically extend that access to Carol's calendars. The field is described in Users.
Access from these sources is combined. Adding a READ rule does not restrict access already obtained through a supervisor relationship or a group role. Removing an explicit share also leaves those other sources of access in place.
For example, Bob has the membership role MANAGER in the Service group and Alice belongs to that group. Alice's calendar can be available to Bob for viewing and writing without an explicit share. Removing a direct sharing rule for Bob does not remove the access provided by his membership role.
Being in the write selection does not guarantee that every operation is enabled. Calendar type, application privileges, event restrictions, and embedded-widget configuration can further limit actions. Calendar management buttons may also apply different checks from the event editor.
Subscribe to a colleague's calendar
- In User calendars, select +.
- Select Subscribe to calendar.
- Select one or more available calendars and confirm the selection.
- Check that the calendar is selected in the side panel. New subscriptions are selected by default.
Select a calendar in the side panel to show or hide its events. Calendar colors help distinguish the schedules.
Use the remove icon beside a subscribed calendar to remove it from your view. This deletes the subscription, not the source calendar or its events. You can subscribe again while you still have access.
Subscribe to a user group
- In User group calendars, select +.
- Select Subscribe to calendar.
- Select the group and confirm.
- Enable its entry in the side panel.
A group entry collects member calendars into a combined view. Subscribing to a group and sharing a calendar with a group are different operations. A subscription does not create a sharing rule or assign a membership role.
The side panel also provides a calendar-subtype filter for group entries. If an expected calendar is missing, check this filter as well as group membership and calendar access.
Work with other calendars
Use Other calendars → + → Subscribe to calendar to add available system, resource, or listing calendars.
The same menu offers Create new calendar for the types permitted by the dialog. Complete the required fields and any type-specific configuration, then save. A newly created calendar from this menu is added to your subscriptions.
When creating a calendar, Choose from template can prefill its type, color, and configuration. Review the resulting values before saving.
Listing calendars display data through a configured listing and are excluded from the normal event editor's selection of calendars for writing.
Create and edit events
- Select New Event, or select a time range if the view allows it.
- Enter the event name and start and end dates or times. Enable the all-day option when appropriate.
- Check the destination calendar. Choose the calendar in which the event should be stored.
- Select an event type and complete any additional fields required by that type.
- Add a location, description, guests, or recurrence as needed.
- Save the event.
Open an existing event to view its details. Where editing is allowed, you can update its fields, drag the event to another time, and resize its duration.
Seeing an event, subscribing to its calendar, or being invited as a guest does not by itself grant editing rights. A calendar available only for reading cannot be used as the destination for a new event through that sharing rule alone.
Recurring events
Set a recurrence pattern when an event should repeat. Depending on the configuration, the available choices include daily, weekly, monthly, yearly, and custom patterns.
When changing or deleting a recurring event, check the scope offered by the dialog:
- this occurrence;
- this occurrence and following occurrences;
- all occurrences.
A moved or exceptional occurrence may offer a different scope from the original series.
Event guests and notifications
Use Add guests in the event detail to search for and select the recipient's calendar. Confirm the selection and save the event.
Inviting a guest includes the specific event in the invited calendar. It does not share all events in the organizer's calendar or grant the guest editing rights. Select an existing recipient calendar; free-text entry alone does not establish a valid calendar recipient.
Invitations, guest removals, cancellations, and changes to the event time or location can trigger email notifications. Delivery depends on the notification service and recipient configuration. Do not assume that every change to an event sends a new email.
Subscribe through iCal
To generate a subscription URL:
- Enable the calendars you want to include.
- Select the link icon labeled iCal URL in the side panel.
- tSM generates a URL for the selected calendar set and copies it to the clipboard.
- In your external calendar application, use its option for adding a calendar from a URL and paste the address.
The feed is for reading events from tSM. Make changes in tSM; this subscription does not provide two-way synchronization. Refresh timing is controlled by the external application.
The feed exports events stored in the selected calendars. An invitation shown in your tSM calendar does not transfer the event into your calendar; include the event's source calendar when you need that event in the feed and have access to that calendar.
Treat the subscription URL as a credential. It contains a token bound to your account and the selected calendar set. The default token lifetime is 90 days, but deployments can configure a different duration. Expiry, account invalidation, or loss of access to a calendar can stop the subscription.
Generate a new URL when the previous link expires or when you want to export a different calendar set. Changing the selected calendars in tSM does not change an existing URL's scope.
Troubleshooting
| Situation | What to check |
|---|---|
| A colleague shared a calendar, but its events are missing | Subscribe to the calendar and enable it in your view. |
| A calendar is missing from the subscription dialog | Check the sharing recipient, group membership, and access level. Use the side panel section matching the calendar type. |
| Events are visible but cannot be edited | Check write access, the destination calendar, event restrictions, and embedded-widget settings. |
| A group view is missing an expected calendar | Check group membership, calendar access, and the subtype filter. |
| A calendar disappeared after selecting its remove icon | Subscribe again. Removing a subscription does not delete the source calendar. |
| Someone still has access after a share was removed | Check other shares, public sharing, direct-supervisor relationships, and group membership roles. |
| A guest sees an event but cannot see the organizer's whole calendar | An invitation covers the event only. Share the calendar separately if needed. |
| An external calendar no longer refreshes | Check its refresh interval, the URL lifetime, and current account and calendar access. Generate a new URL if needed. |
